Intelligent Hoteling – Reservations

Continuing our theme of Intelligent Hoteling, there are two reports that can be generated by Benson to show you what we call the ‘health’ of your reservations.

We developed them as a casual glance at the upcoming reservations of a property may give the impression that forthcoming business will be good, but in fact many of those reservations may not end up staying at the property.

Examples include:

  • Provisional bookings that were made a long while back but a guest has long-since decided to stay somewhere else or not travel at all.
  • Reservations that should have had a guarantee paid, but have not. If the guest does not show up the property may have no practical recourse to claiming its cancellation costs.

Report 1

This report will show the property’s reservations pre-sorted by the date they were created. The older the reservation the more important it is to check its status.

In the ‘BACK OFFICE’ section select ‘RESERVATION STATUS’.

  • Chose a ‘Start Date’ as far back as you know your reservations were in order
  • The ‘End Date’ will be the current day (you can not go beyond ‘today’).
  • Report On ‘CREATE DATE’

We suggest you download this report as a .txt and open it in as a spreadsheet (Microsoft Excel, Apple Numbers, Google Sheets etc). You can then sort the reservations easily.

When the report is drawn look in particular:

  • Provisional – these reservations are considered ‘risky’ as they have not yet confirmed whether they will stay at the property and can cancel easily.
  • Guarantee Overdue – these reservations should have paid already and the fact they have not is an issue as the property may have no recourse to implement a cancellation policy.
  • Manually Guaranteed – these reservations have had their guarantee over-ridden by an authorised user. The property would want to check the reason this was done.
  • Guaranteed – the higher their number the better as these reservations have guests/clients that have paid a deposit, which is a clear intent of wanting to stay at the property.
  • Reconfirmed – the higher their number the better as these reservations have guests/clients that have indicated twice that they intent to stay at the property. Once to confirm and once to reconfirm.

Report 2

This report will show the property’s imminent upcoming reservations.

In the ‘BACK OFFICE’ section select ‘RESERVATION STATUS’.

  • Chose a ‘Start Date’ as the current day
  • The ‘End Date’ for a period in the imminent future (say two week’s time).
  • Report on ‘STAY DATE’

We suggest you download this report as a .txt and open it in as a spreadsheet (Microsoft Excel, Apple Numbers, Google Sheets etc). You can then sort the reservations easily.

When the report is drawn look in particular:

  • Provisional – these reservations are considered ‘risky’ as they have not yet confirmed whether they will stay at the property and can cancel easily. Since the date is imminent you may not be able to fill the room with another guest if they do indeed cancel.
  • Guarantee Overdue – these reservations should have paid already and the fact they have not is an issue as the property may have no recourse to implement a cancellation policy.
  • Manually Guaranteed – these reservations have had their guarantee over-ridden by an authorised user. The property would want to check the reason this was done.
  • Confirmed – these reservations have indicated they have confirmed but the property might want to reconfirm especially if the reservation was created a while back.
